Refinery Group Pty Ltd (Refinery Group) respects the privacy of individuals with whom it transacts. References to Refinery Group include its related bodies corporate (as defined in the Corporations Act 2001 (Cth)).

This Privacy Policy applies to Refinery Group’s hospitality venues including restaurants, bars, hotels, function venues and gaming venues in Victoria, and to our websites and digital platforms.

Refinery Group is committed to complying with the Privacy Act 1988 (Cth) including the Australian Privacy Principles and applicable laws relating to liquor and gaming operations. We collect personal information only where reasonably necessary for our business activities and do so by lawful and fair means.

This Privacy Policy explains how we collect, use, store and disclose personal information.

Use of Personal Information

Refinery Group collects and uses personal information for purposes related to the operation of its hospitality and gaming venues including to:

provide hospitality, accommodation, entertainment and gaming services;
manage bookings, reservations, events and memberships;
verify identity and age to comply with liquor and gaming laws;
administer loyalty programs, promotions and special events;
respond to enquiries, feedback and complaints;
conduct internal administration, planning, research and analytics;
improve services, safety and customer experience; and
comply with legal, regulatory and responsible gambling obligations.

Personal information is only used for these purposes or for related purposes you would reasonably expect, unless otherwise required or authorised by law. You may opt out of receiving marketing communications from us at any time by using the unsubscribe facility included in those communications or by contacting us directly.

Personal and Sensitive Information

Personal information includes information or an opinion about an identified or reasonably identifiable individual, such as your name, contact details, booking information, visitation history, loyalty participation and interactions with our venues, websites or communications.

Sensitive information (including health information, biometric data or criminal history) is only collected where reasonably necessary and with your consent, or where required or authorised by law.

In gaming venues, sensitive information may also include gambling activity, self-exclusion status and responsible gambling interactions.

Collection of Personal Information

Personal information may be collected:

when you attend or interact with our venues;
when you make a booking, enquiry or reservation (in person, online or by phone);
when you participate in loyalty programs, promotions or events;
via our websites, booking platforms and social media pages;
from CCTV and surveillance systems at our venues;
from gaming systems and loyalty or player card programs (where applicable);
from third parties such as booking providers, marketing partners or regulators; and
through correspondence, feedback or complaint forms.

Disclosure of Personal Information

We may disclose personal information where reasonably necessary for business operations, including to:

booking, reservation and payment service providers;
IT, cloud storage and data hosting providers;
marketing and digital service providers;
gaming system operators and loyalty program administrators;
professional advisers such as lawyers, accountants, auditors and insurers; and
law enforcement agencies, liquor and gaming regulators or other authorities, where required or authorised by law.

We may also disclose personal information to third-party service providers who assist us with bookings, reservations, payments, marketing communications, website analytics and data hosting.

Refinery Group does not sell personal information. Some third-party service providers engaged by us may store or process personal information outside Australia. Where this occurs, we take reasonable steps to ensure appropriate privacy protections are in place.

Website Use and Cookies

Our website may use cookies and collect non-identifying usage information (such as pages visited and browser type) to analyse performance and improve user experience. We may also use website analytics tools and similar technologies to better understand how visitors use our website and to improve website functionality and user experience.

Surveillance and Security

Our venues are monitored by CCTV and other surveillance systems for safety, security, loss prevention and regulatory compliance purposes. Surveillance recordings may be accessed by authorised personnel and disclosed to regulators or law enforcement where required or permitted by law.

Refinery Group takes reasonable steps to protect personal information from misuse, loss or unauthorised access. Information may be stored electronically or in hard copy and safeguarded by appropriate security measures. Transmission of information over the internet involves inherent risks.

Gaming Privacy (Victoria)

Additional personal and sensitive information may be collected in connection with gaming activities, including identity verification, loyalty participation, gaming activity data, exclusion and self-exclusion records, responsible gambling interactions and incident reports.

This information is collected and used to comply with the Gambling Regulation Act 2003 (Vic) and related regulatory requirements and may be disclosed to the Victorian Gambling and Casino Control Commission (VGCCC), gaming system operators and other authorised entities where required by law.

Gaming-related records are retained for periods required by law and securely destroyed or de-identified when no longer required.

Access, Correction and Complaints

You may request access to, or correction of, personal information held by Refinery Group by contacting our Privacy Officer. If you have a complaint about how we handle personal information, please contact us. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner.
